Quality Bookkeeping Cleanup

Quality Bookkeeping Cleanup and why the checks wait until the end

Someone already called this cleanup done, which is why the timing of the checks matters. The middle of a cleanup is full of half moved lines. The checks belong to the moment someone says they are done.

Read the reason

Two binders of sleeved pages stacked on a wooden table, graph paper showing at the edge.
Two moments that get confused

While the work is underway, accounts get renamed, old items get cleared, and a holding account fills and empties more than once. Testing that mess against a bank statement would fail a file that is simply unfinished. We do not run the five checks then.

The invoice that says finished is a different moment. That is when the bank date should already be named, the holding accounts should already be empty, and the return should already agree or carry a written difference.

The cleanup is for the owner who has to live with the file after the invoice is paid. A finished label on that invoice is not the same thing as a month you can hand to a lender.

Judging the work at the end is how you keep the right to send it back. Judging it in the middle only proves that editing is noisy.

The close and the year stay in one conversation

The month has a controller's question: is the row actually closed. The year has another: can October still change what gets filed. We keep both in the same talk so you do not buy a closed month that the return cannot use.

When payroll belongs in the same conversation, we name the company that will move the money and the first date it should run. We stop at that map. Moving the money stays with that company, and it is not one of the five checks.

Facing a sales tax filing the state already holds is a later step, after the months have closed. We leave every percentage out of this article. A reading of that filing does not tell you a refund is coming, and it does not tell you a balance is due.

If you want the longer why behind a single row, start with the bank check. If the invoice is already in your hand, start with the failed list.

What waiting protects

Waiting until the end protects you from paying for a mood. It also protects the next month. A tenth means something only after a pass. Before a pass, a tenth is a date on a calendar with nothing under it.

If the file is still being edited, we say the checks would be early, and we wait. Hearing that before a second invoice is the point of the call, and it costs less than cleaning the same months twice.

Say whether someone already called the cleanup finished, or whether the edits are still going.
